An AGM membership section often fails not because the club is weak, but because the extract still holds duplicate records, unfinished transfers, and categories that nobody has used for years.
Start with a freeze date. Agree with the treasurer which day counts as ‘current members’ so renewal cheques that arrive later do not reshape the published count mid-draft.
Then walk category by category. Life members, student members, and corporate nominees behave differently at renewal; mixing them into one percentage hides where the real movement sits.
Chapter transfers deserve a separate line. A member who left Bangkok for Chiang Mai is not a loss to the association — only to one chapter’s local roll.
Finally, ask the honorary secretary to initial the cleaned extract. That small step keeps the AGM narrative and the underlying roll aligned when a floor question arrives.
